Employee self service
What an individual employee sees and can do once they are added to the company, on the phones they actually carry.
Who this is for
Every employee signs in the same way everyone else does: an email address and a password, or an emailed one-time code as an alternative to typing a password. Someone without a personal email address is given a company-assigned one by their HR admin, so nobody is left out of the same sign-in door for lack of a Gmail account. There is no phone-number or employee-code sign-in, and no SMS or WhatsApp option, by design.
What self service is built for
Employee self service (ESS) is aimed squarely at the phone most staff actually carry: an inexpensive Android device, a small screen, GPS accurate to roughly a hundred metres rather than a handful, and a connection that drops in and out over the course of a day. Every screen a regular employee uses is built against that phone, not a demo device on office Wi-Fi.
What an employee can do
- Check in and out, from inside their work site's mapped radius. See Attendance and check-in for how that radius is sized so an honest person's ordinary GPS wobble never locks them out.
- File a leave request against their own balance, see its status, and see the decision once their approver has made one.
- View their own payslips, once a run reaches Locked or Paid, never before: a payslip only appears once its figures are the figures that were agreed.
- See their own attendance record, in the same P/A/L/V/H/W grid a supervisor sees, scoped to themself.
What an employee cannot do
Self service never shows one employee another's salary, payslip or leave
balance. Whether a manager can see the salary figures of the people
reporting to them is itself a company setting (payroll.salaryVisibleToManagers)
that defaults to hidden, because visibility into someone else's pay is a
company's decision to make deliberately, not a default anyone should
inherit by accident.
Turning it on
Self service is one of the modules a company switches on per its own contract, alongside attendance, leave, payroll and the rest: see the modules list on the home page for the full set, and Settings that matter for what to configure before employees start using it.
